Primary Responsibilities

Main Duties and Responsibilities
Reads and understands specific vehicle operating manual and is able to operate every device in the car

Maintains automobile in clean, polished, flawless operating condition

Maintains and operates communications devices, emergency response and contingency equipment, including fire extinguisher, flares or reflectors, chains, shovel, blankets, survival supplies, defensive and diversionary devices
Responds to medical emergencies occurring to passengers en route
Drives during irregular hours in daylight and nighttime hours; stays overnight on extended trips when need be.
Interacts effectively with corporate travel, security and executive protection personnel and managers
Skills and Qualifications
Must have a valid driving license
Must have experience in executive driving that is must have driven dignitaries ie MP’s, CEO’S, Directors, Ambassadors’ etc.
Well spoken and well groomed
Able to solve practical problems and react quickly and calmly to changing or emergency circumstances
Be a good communicator
Should have a basic understanding of mechanical aspects of vehicles
Should have a valid driving license with at least 5 years driving experience
Courteous and accommodative altitude
Demonstrated discretion in all matters related to the assignment, including confidential information seen and hear

Main purpose of the post

Profile of expected competencies
A medical doctor with postgraduate qualifications in public health or other related field
Must possess technical expertise in TB control with emphasis on implementation of the Stop TB Strategy in Kenya. Specific orientation on TB/HIV and PMDT programming and implementation will be an added advantage.
Demonstrated experience in working with MOH and other officials from the public, private and NGO sector
Conversant with TB technical support supervision, and other quality improvement approaches

Accounts Assistant
Reporting to the Accountant, the assistant accountant will ensure adherence to quality financial stewardship, internal control and promotion of good financial management practice.
Duties and responsibilities:
The account assistant will:
Ensure timely disbursement of funds for implementation of TB CARE 1 project activities
Collaborate with implementing Partners to ensure appropriate financial management and timely submission of financial returns from the field.
Review all invoices, financial returns and payment to be made for appropriateness, proper documentation, internal authorization and funds availability
Process cheque payments ensuring that invoices are thoroughly checked and cheques together with payment vouchers raised are appropriately approved
Ensure timely review of all financial returns and reports from the field.
Ensure proper coding of all transactions.
To ensure that a complete and accurate record of all petty cash transactions is maintained at all times that expenditure of petty cash is fully monitored; and that requests for replenishment are made in a timely manner, when required.
Ensure timely data entry of all financial transactions into the QuickBooks database.
Prepare audit files and audit schedules in readiness for annual audits.
Manage all incoming and outgoing financial mail and correspondence in a secure manner
Maintain and update electronic and manual financial filing systems and generation of financial reports as required
Ensure adherence to financial policies and procedures by both staff and partners.
Prepare cash reconciliations and cash counts at the end of the month.
Prepare bank reconciliation.
Initiate EFT and online bank payments in accordance to the rules and regulations of the organization.
Minimum requirements
Accountancy professional qualification ie. Completed ACCA or CPA (K) or equivalent. University degree will be an added advantage.
Minimum of 3 years working experience in a busy finance office preferably an NGO , with thorough knowledge of book keeping in an organization with international scope or wider national coverage
Experience in donor contract management and budget monitoring
Manages resources and deadlines with minimum supervision.
High level of initiative

Driver

Job Objective:
The position holder is responsible for driving Outreach team members or any other persons as maybe requested by the Outreach manager and the respective team leader.
Additionally she/he is responsible for the maintenance and taking good care of his/her assigned vehicle, under the supervision of the Fleet Supervisor.
In liaison with the Outreach Manager and Fleet and Logistics Officer, the Driver’s main role is to safely and efficiently drive the Project’s any other organization vehicle, support the Choice Project staff in the field and maintain the vehicle to a high standard.
Key Responsibilities:
The driver will drive team members as instructed by the Outreach Manager/Team Leader.
He will perform related tasks like making purchases, mail delivery, cheques delivery etc as assigned by the Outreach Manager/Team Leader.
Ensure the correct loading and unloading of the vehicle, considering the maximum loading capacity, proper distribution and securing of the load is adhered to.
Adjusting the vehicle speed to the road conditions not forgetting the instruction illustrated on the roads signs and to drive with consideration for the safety of the passengers, other road users, the load and technical state of his car.
Required to make the decision of whether or not to attempt to cross a difficult or unsafe section or to continue after defect of the vehicle has been detected or to delay the travel.
Ensure the safe parking of the vehicle at any time possible in the Marie Stopes Kenya compound or wherever the vehicle maybe by ensuring all safety precautions for example putting on the alarm of the vehicle at night, or during breaks and when it is not in use.
To submit monthly vehicle reports to Support Office Nairobi as per finance department protocols.
To keep the Marie Stopes Kenya motor vehicle interior and exterior clean at all times.
Ensure that the vehicle receives the correct maintenance in a timely fashion to prevent avoidable breakdown, and to maximize vehicle performance.
Carefully monitor fuel and oil consumption of the vehicle, taking steps that records are accurate and no supplies are diverted.
Maintain appropriate driving skills and experience for driving long journeys across Kenya and in difficult terrain.  The driver must immediately notify the Outreach Manager and Fleet and Logistics Officer of any health complications that could affect the driver’s ability to conduct his work safely (e.g. deteriorating eyesight, epileptic fits)
Drive in a responsible way, showing care and consideration for other road users, including pedestrians and cyclists and ensuring risks to all vehicles under the Driver’s control are minimized.
Ensure Marie Stopes Kenya vehicles are only used for official business.
Participate in community sensitisation and mobilisation as requested by the Project Manager.
Competencies, skills and attributes:
Must be flexible and able to adapt to abrupt changes in project’s activities at short notices.
Good communication and sound report-writing skills will be an added advantage.
Should be quick in understanding, keen in taking instructions, and able to work with minimum supervision.
Should be willing, ready and able to perform other duties as delegated to him/her by the Project Manager.
Minimum Qualifications

Key tasks & responsibilities
• Responsible for driving authorised persons and transporting project goods in a timely, safe and cost efficient manner;
• Ensure the safety of passengers, cargo and vehicle while strictly observing traffic rules and road discipline;
• Manage the day-to-day maintenance of the assigned vehicle to ensure roadworthiness (including daily check of tyres, brakes, engine oil, fan belt etc.);
• Ensure that the project vehicle is only used for official/ authorised business;
• Follow up on official requests for office purchases at the Laisamis project office;
• Assist in minor office premises maintenance works at the Laisamis project office;
• Support the Project Office Manager in procurement processes;
• Responsible for receiving procured goods and arranging transportation to their final desti-nation(s);

Desirable Quali-fications, skills & attributes
• Possession of a valid national driving license (A, B, C, E classes);

• Over 30 years of age with at least 5 years continuous work experience in the described responsibilities, preferably with an NGO;
• Good knowledge of and experience as a driver in rural areas of Kenya, especially off road driving;
• Additional occupational training such as first aid, defensive driving and security awareness would be an asset;
• Good communication skills with thorough knowledge of English and Kiswahili;
• Samburu or Rendille language skills would be a highly appreciated asset;
